Owners and Admins can use metasheets to make bulk edits
Metasheets allow for an editable user to make changes to a selected group of assets in bulk. Editable users can update and add tags, custom fields, asset names, and descriptions. This feature helps to significantly decrease an admin's time spent on making sure the correct taxonomy and information are in place on multiple assets at once.
Creating Metasheets
1. Within Media Manager, bulk select the assets you would like to update. From the bulk actions toolbar, hover over Download and select Download CSV. The download of the CSV will begin.
Note: for values above 50,000 you may see an error message. However, you should still be able to download the file from notifications in your profile. For files above 70,000 assets, please contact us for assistance. Or, break the assets into smaller batches.
2. Open the new Metasheet CSV in the spreadsheet editor of your choosing. From here, the user can add, update, and delete the information within the CSV. Make sure you are in the right tags, custom fields, asset names, and/or description column when making these updates.
DO NOT delete the value in the asset key column, this is what will match the updates back in the system. Also if you delete a column or clear out a column, it will clear out that value. If you want to just add some items, such as additional tags, it's best to keep the existing values in place and just add additional values at the end of the individual cells. Advanced functionality in Excel can also be helpful to find and replace values or add values before or after items in the cells.
3. Rename and save the updated CSV Metasheet.
4. To upload the values back, navigate to Settings > Bulk Management.
5. Select Upload CSV and upload the new Metasheet within the import box. After the CSV is done processing, the new updates will then be visible within your library.
4. To upload the values back, navigate to Settings > Bulk Management.
5. Select Upload CSV and upload the new Metasheet within the import box. After the CSV is done processing, the new updates will then be visible within your library.
Note: Processing time is dictated by the number of assets and information updated. Please allow for a few moments of processing time should this be a large update. We do not recommend updating more than 40,000 rows at once.
